Building data vs contact databases for B2B sales in the trades
Use building data to find the sites that fit your work, then use contact data to reach the responsible buyer. Compare research workload, cost and evidence quality.
Direct answer
For B2B sales in the trades, use building data to identify where your product or service fits, then use a contact database to reach the people responsible for that scope. Building records establish physical context; contact records establish routes to organizations and people. Connect both to a persistent building ID, and confirm buying responsibility before treating the record as a sales opportunity.

Key takeaways
- Define physical fit and purchasing responsibility separately, then connect them through a stable building record.
- Anvilfield estimates that a 1,000-building size screen retains 126 sites and redirects 233.1 role-research hours in the central case.
- Compare supplier cost with equivalent internal work, including any review and measurement reconciliation.
What does each database tell a trade sales team?
Building data describe the place where work happens: the structure, its use, size, roof, equipment, paved areas and evidence dates. Contact databases describe organizations and people: company names, job titles, email addresses, telephone numbers and employment relationships. A useful business-to-business (B2B) sales file joins those records around a specific serviceable building. The contact supplies a route to a conversation; the building supplies a reason for that conversation.
A roofing distributor needs to know whether an address represents a roof its customers can restore. A commercial heating, ventilation and air conditioning (HVAC) company needs equipment and service responsibility. A paving contractor needs a lot with a workable scope and access. A facilities title alone resolves none of those questions. Equally, a clear view of equipment says nothing about which person approves the service agreement.
Use the database that resolves the current uncertainty. When the missing fact is physical scope, investigate the building. When the building fits and the missing fact is purchasing responsibility, investigate the account and contact. If a known portfolio customer has already supplied a reliable equipment register, begin with that record and update its people. Repeating discovery work on an established account adds little.
Ask suppliers to distinguish verified fields from inferred fields, and keep those distinctions after export. A phone number that connects and a building that contains the required asset pass different checks. Measure both, then track the completed handoff between them.
| Sales question | Building data contribute | Contact data contribute |
|---|---|---|
| Where is the serviceable work? | Location, physical attributes, asset observations and coverage | Organization locations requiring a building match |
| Does this site fit the offer? | Size, system class, use, access questions and exclusions | Business activity and organizational context |
| Who is responsible? | Owner-of-record evidence and site relationships | People, roles and routes to the approving organization |
| What changed? | Dated additions, removals or altered assets | Employment, title or contact changes |
| Is there an opportunity? | A documented physical reason to investigate | Confirmed scope, responsibility, timing and next action |
The building-level methods behind the comparison
Building-first prospecting means starting from the building and what is visible on it, then finding the decision maker. Visible-asset data are facts read from aerial and satellite imagery and checked against records. Together they give a researcher a physical inclusion reason to preserve through the sales handoff. Record an apparent rooftop cabinet as an observation until equipment records or a visit establish its identity.
Fit-first lists are lists filtered to buildings that fit a company's work. Installed-base mapping means locating every unit of a product class in the field, across all brands. The first organizes a selling queue; the second builds the wider equipment inventory from which territories and service programs are developed. Keep unknown brands and unresolved assets visible in the inventory.
Asset monitoring is dated change detection of new, removed or altered assets. Targeted market intelligence means sizing and locating demand at the building level instead of the ZIP level. Monitoring updates the evidence behind the market model, while the contact database keeps the route to the responsible people current. A changed asset is a reason to investigate purchasing history and future service needs.
Which records should you join before researching people?
Give each structure a persistent building ID. Attach its parcel identifiers, operating addresses and account relationships without replacing that ID when a tenant changes. Group separate campus structures under a site account while retaining their individual equipment and roof records. An address is a useful search key; a building ID is the counting key.
The Census Bureau defines an establishment as a physical business location and distinguishes it from a company that operates several establishments. That economic unit also differs from a building: tenants share structures, and campuses spread operations across structures. Use industry records to understand the organization, then resolve its physical locations. The Census glossary linked below supplies the counting definition.
Coordinates need an evidence check too. Census Geocoder documentation explains that its results use address ranges and interpolated positions; an address-range match does not demonstrate a structure at that point. Check the building boundary, service entrance and parcel relationship before handing an apparent match to a territory rep. Retain the address originally supplied so an erroneous join can be traced.
In the customer relationship management (CRM) system, connect the building to its assets, the assets to their service scopes, and the scope to the responsible organization and people. Store the relationship evidence alongside the records. This lets a manager distinguish a missing buyer from a missing asset, and assign the next research task correctly.
Owner of record vs operator vs decision maker: who actually buysKeeping a CRM clean with building-level recordsWhat changes when you screen buildings before contacts?
Anvilfield estimates that the central size screen contains 746,000 buildings above 25,000 square feet in the 2018 US commercial reference stock. Across the tighter and broader screens, the count ranges from 360,000 to 1,727,000.
Anvilfield estimates that the central screen contains 12.6% of buildings and 64.7% of floorspace. Across the screens, those shares range from 6.1% to 29.2% and 50.2% to 81.1% respectively. Anvilfield puts floorspace concentration at 5.1 times the building share, ranging from 2.8 to 8.3 times. Keep total floor area distinct from roof area and equipment count.
Anvilfield estimates that the 1,000-building batch retains 126 sites, ranging from 61 to 292, and requires 252 role-research tasks, ranging from 122 to 584.
Anvilfield estimates that screening before contact research redirects 233.1 staff hours, ranging from 188.8 to 250.4, and $10,928 of compensation budget, ranging from $8,853 to $11,741. Assign that capacity to documented research and account work, and track the resulting conversations and opportunities.

Best practice: specify the physical fit before ordering data
Write the inclusion rule in language a reviewer can apply to a single building. Define the service territory, building use, size measure, visible asset class and unresolved conditions that require follow-up. Specify whether a size threshold means total floor area, footprint, roof plan area or measured surface area. Exports that use different measures need reconciliation before comparison.
For manufacturers and distributors planning territory coverage, PorchRocket's Ground Control supplies commercial building lists filtered by roof age band, material, size, business type and visible features such as rooftop HVAC, parking lots and loading docks. Turn those fields into an acceptance specification before ordering, then give the selected buildings to the contact researcher with their inclusion reasons intact.
Choose technical questions from the actual work. Roof restoration requires investigation of the assembly, moisture, substrate and system compatibility. HVAC service requires equipment identity, access and responsibility. Pavement work requires a distress assessment and an appropriate treatment scope. Keep those questions in the qualification file so a physical search does not silently become a completed technical assessment.
Use the linked field guides to decide which observations support desk screening and which belong to a site visit. Mark an unresolved covering or cabinet type explicitly and retain the source image or record. A filter that forces uncertain cases into a definitive category creates avoidable work for the estimator and makes supplier quality harder to measure.

Separate the owner of record, the operating organization, the property manager and the person authorized to approve the work. The appropriate contact changes with the package being sold. A tenant's facilities team handles some maintenance decisions; a property owner or portfolio team handles other capital decisions. Confirm the relationship for the asset and service scope instead of inferring authority from a title.
For custom equipment inventories, PorchRocket's Asset Search returns reviewed visible-asset findings with the owner of record on each result. That owner information supplies an account-research starting point; the sales file still needs the operating and approving relationships for the proposed work. Preserve the ownership source alongside any later confirmation from the operator.
Research the technical role and the approving role as separate tasks, even when the same person fills both. A technical contact helps establish equipment, access, scope and existing service arrangements. An approving contact establishes responsibility, procurement process and timing. A useful handoff records what each person confirmed and the date of the conversation.
Shared ownership changes the workload. Once a portfolio buyer's authority is established, link that verified person to the relevant buildings and scopes. Avoid researching an identical relationship repeatedly. Keep exceptions for tenant-controlled systems, separate service agreements and properties outside the portfolio mandate. The estimate's task count is a starting research budget; the CRM relationship map supplies the operating count.

Use these Anvilfield benchmarks to review a file before expanding it. After a pilot, update staffing budgets from completed responsibility checks and accepted building screens. Keep those task definitions consistent across teams.
Judge throughput by accepted buildings with a documented route to the buyer. Keep rejected sites, unknown attributes and failed relationships in the review ledger. Those records explain whether the next improvement belongs in physical filtering, identity matching or contact research.
| Rule or benchmark | How to apply it |
|---|---|
| Use 1 persistent building ID per structure. | Link addresses and parcels without multiplying the physical count. |
| Budget 2 role-research tasks per retained building. | Investigate technical responsibility and purchase approval; one person can fill both. |
| Budget 8 minutes per role-research task. | Include relationship validation in the measured task. |
| Budget 2 minutes for the initial building screen. | This is a size and identity pass; technical assessment is separate. |
| Expect 33.6 role-research hours per 126 retained sites in the central model. | Compare the pilot with the same task scope before revising staffing. |
| Keep dated evidence on 100% of released sites. | Preserve source, observation date, review date and unresolved fields. |
| Treat $12.40 per retained site as the central screening-only break-even price. | Compare a delivered list with equivalent internal screening work. |
| Keep 1 explicit next action on each active building-scope record. | Name the responsible person and the evidence needed to advance it. |
Worked example: a regional commercial HVAC service company
A regional commercial HVAC service company organizes a pool of 1,000 distinct buildings. In Anvilfield's central case, its desk screen targets total floor area above 25,000 square feet and retains 126 properties. The team then checks equipment and operating arrangements against its service offer, using the technical guides alongside the sales file.
In the contact-first sequence, researchers complete 2,000 role tasks across the original pool before the size screen. Anvilfield puts contact work at 266.7 hours. Screening the original pool adds 33.3 hours. The combined research budget is 300.0 hours and $14,067 of compensation.
In the building-first sequence, the same size screen runs first. Researchers then complete 252 role tasks on retained properties in 33.6 hours. Including the initial screen, the sequence takes 66.9 hours and $3,139. It produces the same size-selected queue while redirecting 233.1 hours toward unresolved equipment, account relationships and substantive conversations.
The manager schedules that recovered capacity against a named backlog. She assigns incomplete equipment records to service staff and unresolved purchasing relationships to account research. The team keeps completed technical assessments, buyer confirmations and accepted next steps as separate outcomes. It does not enter the entire selected queue as quoted work or assign a service contract value to every visible cabinet.
Anvilfield estimates an 87.4% reduction in role-research workload, ranging from 70.8% to 93.9% across the size screens. The central capacity equals 5.8 staff weeks, with a range of 4.7 to 6.3. Assign that capacity to a named backlog and track completed work.
Price a commercial RTU maintenance agreement from actual scopeBuild a service territory around asset density and drive timeWhen is buying building data worth more than doing the screen yourself?
Compare a supplier with the work your team would otherwise perform. Anvilfield puts the central internal building-screen budget at $1,563 for the starting pool, or $12.40 per retained site. Keep contact research in the budget for either acquisition route.
Anvilfield estimates a screening-data break-even price of $12.40 per retained building, ranging from $5.35 to $25.62. Use it for an equivalently screened file. Additional equipment, roof or ownership evidence deserves a separate comparison with the research it replaces.
Anvilfield puts purchased screening data plus retained-site role research at $3,466 in the central case, compared with $3,139 for the internal sequence. The purchased route carries a $327 premium for this simple screen. Decide whether delivery speed, coverage or additional verified fields justify that premium for the actual assignment.
Hold the coverage and acceptance rules constant when comparing quotes. Require the supplier's size measure to match the screen, identify exclusions and ask how unmatched records are handled. Add any footprint-to-floor-area reconciliation, review or owner research that remains with your team. Evaluate the full accepted-file cost after those tasks are known.
How should sales operations test a combined file?
Test the physical join and the contact relationship independently. Inspect records that matched cleanly, records with conflicting addresses, and rejected candidates. Compare the building footprint with the intended location, then inspect the account-to-building relationship. A clean email field cannot repair a wrong building match, and a correct parcel cannot establish an employee's authority.
Track acceptance at successive stages: unique structure, physical fit, responsible organization, usable contact and confirmed next action. Keep the original denominator visible at every stage. Report contact reachability among researched people and physical acceptance among reviewed buildings. Mixing those denominators hides where the file needs repair.
Keep separate observation dates for imagery, ownership records and contact verification. Record the date a reviewer made the decision as well. The newest email check does not refresh an older equipment observation. When a later record conflicts with the current entry, preserve both sources and assign a resolution task instead of silently replacing the evidence.
Ask the field team to close the loop. A site visit that finds a different system should update the asset record and the screening rule. A call that identifies a portfolio manager should update the account relationship. Return those corrections to the research process so the next delivery begins with better scope and fewer repeated errors.
How do leading teams keep the physical and contact records useful?
Leading practice is to assign ownership of the evidence. Manufacturers need an equipment inventory that informs channel coverage, distributors need serviceable demand near branches, and service companies need scope that fits routes and crews. The account manager owns the buying relationship; a research or operations owner maintains the physical record and resolves conflicting evidence.
For manufacturers and service companies tracking installations beyond a standard property filter, PorchRocket's Asset Search offers custom searches and monitoring of assets visible from above, with each search quoted to its scope. Specify what qualifies as a change, how the result will be reviewed and which account action follows. Monitoring becomes useful when someone acts on the dated finding.
Refresh records when the evidence changes the decision. A new cabinet prompts equipment verification, an ownership transfer prompts responsibility research, and a role change prompts contact validation. Preserve the previous observation so the reviewer can see the change. Equipment installation timing, remaining service life and budget intent require their own records.

Methodology
Anvilfield research uses the downloaded EIA B1 rows below as its physical inputs. The universe is the 2018 CBECS commercial-building population; the EIA table guide defines its scope and minimum size. We apply no growth factor to convert it into a current stock count. Sum the size bands strictly above each threshold, divide by the published national count and floor area, and retain full precision for shares and ratios. The band totals differ slightly from the published national totals because EIA rounds its table cells; the published All buildings row remains the denominator.
Anvilfield workflow settings: the research pool contains 1,000 distinct buildings following that national size mix. The size screens are above 50,000, 25,000 and 10,000 square feet. Round retained sites to whole buildings before calculating workload. Each initial screen takes 2 minutes; each retained building generates 2 role tasks at 8 minutes each. Both sequences screen the same original pool. Contact-first researches all roles before screening; building-first researches retained sites afterward. No duplicate structures, contact reuse across buildings, unresolved screens, rework or variation in contact availability is modeled.
Cost settings: value all staff time at BLS's June 2026 private-industry employer compensation of $46.89 per hour, without adding benefits again. Hold existing contact subscriptions and already-owned base data equal between internal workflows. Exclude overhead, travel, selling, inspections and taxes. A staff week is 40 hours. The capacity calculation includes no payroll reduction or sales conversion. Low and high are the ordered scenario endpoints for each quantity, not sampling confidence limits. The central screen is above 25,000 square feet; the alternatives are above 50,000 and 10,000. Each row orders its endpoints separately across the three screens; endpoint columns do not describe a single paired workflow.
For the procurement sensitivity, PorchRocket's Ground Control pricing publishes commercial building rates from $10 to $20 per building, while its product page states delivery within 48 hours. The model uses $15 per retained building as the central unit-price budget, excluding tier minimums and add-ons. Supplier substitution requires equivalent total-floor-area filtering and identity checks; additional reconciliation or review is separate. Break-even price equals displaced screening compensation divided by retained sites, with contact effort held equal.
The calculation script parses the archived EIA table and verified BLS release, then writes the estimate table and every worked-case output. All public sources were checked November 5, 2026. The sources below identify the statistical years separately from that review date. Operating rules for persistent IDs, role checks, dated evidence and next actions are Anvilfield's proposed review standard.

FAQ
Is building data a replacement for a contact database?
Building data establish where the offer fits. Contact data help identify and reach the responsible people. Join them around a persistent building record, then confirm the relationship for the actual scope. Existing customer records remain useful when their physical and account information is current.
Can an industry code tell me which buildings have the equipment I sell?
An industry code describes economic activity. Use it to prioritize investigation, then verify the relevant building and asset. A business category does not establish equipment type, quantity, condition or the responsible buyer at a particular property.
Does a property owner name identify the decision maker?
It identifies an ownership relationship to investigate. The operator, manager or portfolio team has to be connected to the proposed service scope. Record who confirms technical needs and who can approve the purchase, including any tenant or contract exceptions.
Why does the estimate use older building statistics?
The EIA source has a defined survey universe, published size bands and reproducible counts. Anvilfield preserves its 2018 reference year and uses the size mix to compare research sequences. A territory plan needs a dated local inventory and its own size distribution.
Does an 87.4% workload reduction mean sales will rise by that amount?
The central estimate measures role-research tasks avoided when a size screen precedes contact work. Sales outcomes depend on subsequent technical fit, responsibility, timing and execution. Record those outcomes separately from research capacity.
Should I buy a property list or run the size screen internally?
Compare the delivered file with the equivalent internal research package. Include review and reconciliation work, and credit additional evidence only when it displaces work your team needs. The central screening-only model has a $12.40 break-even price per retained site.
Can footprint replace floor area in this model?
Use the same measurement basis on both sides of the calculation. The model uses total floor area from CBECS. A footprint describes the plan extent of a structure and needs further evidence to establish total floor area across stories.
How do I keep portfolio contacts from inflating the list?
Store the person once and link the verified relationship to each applicable building and scope. Count buildings for physical coverage, accounts for purchasing relationships and people for contact activity. Preserve exceptions rather than copying authority across the portfolio automatically.
